Accommodation Terms and Conditions

Terms and Conditions

Northwest Travels Pvt. Ltd. act as a booking agent on behalf of all hotels, apartments and villas featured on this website and your contract will be made with these accommodation providers and not Northwest travels pvt. Ltd.

Please read the booking terms and conditions carefully, they apply to all bookings made with Northwest Travels Pvt. Ltd. and each individual member of your party.

Your Contract

When you book accommodation either via the internet or telephone, your booking is confirmed immediately and it is at this time a binding contract comes into existence, email confirmation of your booking will also be sent to you and a voucher will follow once full payment has been taken.

The contract is subject to these booking terms and conditions, all booking conditions will apply to each and every booking made with Northwest Travels Pvt. Ltd..

Once the contract is made, it is the accommodation providers' responsibility to provide you with what you have booked and it is your responsibility to pay for the accommodation in full before you travel.

All relevant documentation will be sent to you via email, it is important to check carefully all the details of your booking once you receive it. Northwest Travels Pvt. Ltd. will not be responsible for any information you do not receive, as a result of your failure to provide a valid e-mail address.

If you want to cancel or amend your booking later, you may have to pay cancellation or amendment fees; these could be a much as the whole cost of accommodation.

If your booking is more than 5 (five) weeks away and the total amount is more than �100, you can pay a 20% deposit. This deposit is non refundable. The balance is due 5 (five) weeks before you travel, please note this must paid before you travel or your booking will be cancelled.

Unconfirmed Rooms

In some circumstances your booking may not confirm immediately online, if this happens you will receive an� message advising of this and you will be contacted within two working days by Northwest Travels Pvt. Ltd. At this stage no payment will be taken and there is no binding contract in place. If we are unable to confirm your booking with the accommodation provider you will receive email notification of this; if we are able to confirm your booking, you will be contacted; payment will be taken and your accommodation invoice and voucher will shortly follow via email.

Pricing

Prices are quoted in the currency you choose, this being either British Pounds (�), Euros (€) or American Dollars ($) - we reserve the right to change prices at anytime before you book.

Included in the price is:

The accommodation as confirmed to you, plus the board basis you have chosen and paid for.

  • Self Catering: No meals, however, the room will have kitchen facilities.
  • Room Only: No meals and no kitchen facilities.
  • Bed & Breakfast: Continental Breakfast only unless otherwise stated.
  • Half Board: Breakfast and Evening meal – no drinks.
  • Full Board: Breakfast, Lunch and Evening meal – no drinks.
  • All Inclusive: Breakfast, Lunch and Evening meal, unlimited snacks (as per each individual hotel's service) and also local alcoholic & non-alcoholic drinks.

VAT is included in the cost of all accommodation to countries within the EU. This is not reclaimable by VAT registered persons.

Your payment will be handled by Worldpay. This name may appear on your bank statement. If we suspect a fraud, we reserve the right to cancel a transaction for security purposes.

The special offers are subject to availability and supplier.

Our Price Guarantee

Prices on the website do change from time to time; prices can go up as well as down and you will be able to determine your up to date price for your chosen accommodation prior to confirming your booking online.

We guarantee that once you have made your booking, we will not increase the price of your accommodation – this includes any changes to VAT or Government Taxes.

Please note once you have agreed a price and made your booking this is the price you pay. If the price decreases, you are not entitled to the accommodation at the changed rate.

Credit Card Charges

Bookings made by credit card will�be subject to a credit card charge of 3%.


Minors

Northwest Travels Pvt. Ltd. will not accept bookings from minors. You must be 18yrs of age or over and have legal capacity. NB For booking in the US, this age is 21 years old.

Child Ages

Different hotels specify different maximum ages for passengers to be classed as children, though the most common maximum child age is 12. If you are travelling with children, you will be asked to enter the ages of the children travelling with you. The age(s) you enter must be the ages at the time of travel, up to and including the day of departure.

Special Requests

If you have any special requests that do not form part of the standard accommodation services as described in this website ( for example dietary needs, cots, room location, bed type) please let us know at the time of booking in the additional information space. We will pass on all such requests to the accommodation providers, but unfortunately these can not be guaranteed, these are purely requests. We will not contact you before you travel to inform you whether or not your requests are possible, you will find out upon your arrival at the accommodation. Furthermore if the accommodation provider is unable to meet such requests, neither we nor they can have any liability to you in this respect.

If I Want to Change My Booking

If you want to change any of the details of your booking after we have sent you confirmation, we at Northwest Travels Pvt. Ltd. will do our best to help. If we are able to make the change there will be a charge as shown on the scale below. This charge will be based on the date we receive your written request. Modifications made using a credit card may be subject to a credit card charge where applicable.

Cancellations notified directly to the accommodation will not be effective. All cancellations or amendments must be made directly to Northwest Travels Pvt. Ltd. in writing or by using 'my account' online.

If We Change Your Accommodation

Every effort is made to maintain arrangements as confirmed to you, however, as they are planned many months in advance changes may occur for reasons beyond our control.

The accommodation providers reserve the right to change your accommodation to an alternative of the same or superior standard within the same resort.

Occasionally the accommodation providers may have to offer alternative accommodation of a lower standard or within a different resort to the original accommodation booked; in these circumstances compensation may be offered to you by the accommodation providers.

When the accommodation providers are unable to confirm a suitable alternative, we reserve the right to cancel the booking and an email notification will be sent to inform you of the details.

Please note once you have left to take up your accommodation, you have no right to cancel your reservation.

We reserve the right to cancel the contract between us if one or more of the order was listed at an incorrect price due to a typographical error or an error in the pricing information received by us from our suppliers. If we do cancel your contract we will notify you by e-mail/letter and re-credit to your account any sum deducted by us from your credit/debit card as soon as possible. We will not be obliged to offer any additional compensation for disappointment suffered.

Number of Nights

The number of nights stated in the price online refers to the number of nights the accommodation has been reserved for you. Some flights may be night flights; when you arrive in resort your accommodation will only be available if you have reserved it for that night.

Our Responsibility to You For Your Booking

As we are acting only as a booking agent we have no liability for any of the accommodation arrangements and in particular any liability for any illness, personal injury, death or loss of any kind, unless caused by our negligence. Any claim for damages for injury, illness or death arising from your stay in the accommodation, must be brought against the owner of the accommodation and will be under the jurisdiction of the law of the country in which the accommodation is based.

Indemnity

When you book accommodation through Northwest Travels Pvt. Ltd.you accept responsibility for any damage to property or accommodation caused by you or a member of your party. The accommodation provider reserves the right to terminate (before or after departure) your holiday or that of any member of your party due to your or their misconduct, within their reasonable opinion. In these circumstances full cancellation charges will then apply and no refund will be given. Furthermore, the accommodation owner shall be under no obligation to pay compensation or meet any costs or expenses you may incur as a result of your accommodation being terminated. You agree to indemnify us against any claims (including legal costs) made against us or on behalf of the owner of any such property or accommodation. Finally you are also liable to make a reimbursement to the accommodation provider for any damage caused, before you end your stay.

Complaints Procedure

If you experience problems with your accommodation whilst in resort, please advise the staff at the hotel or apartment in which you are staying. If they fail to resolve your problem, you must call the emergency contact number on your voucher immediately in order to give the accommodation supplier the opportunity to resolve the problem. If the supplier is unable to assist you please call 00 91 9810354946 , in order to speak to our customer services department at� 00 91 11 25130495, 32924118, 45024895 from (Mon-Sat)0930 AM to 0630 PM.�

In the event that the matter was not rectified sufficiently in resort, you must put your complaint in writing to our Customer Relations Department within 14 days of return of travel. Please note: if you submit your complaint later than 14 days after your return, it will not be accepted and the matter will not be investigated.

Once the Customer Relations Department receives your complaint, they will acknowledge it, the matter will be investigated and you will receive a full written response within 28 days. (Please note the 28 days start from the date of the acknowledgment)

If you incur additional expenses and you feel these should be paid by AlphaRooms, we will only consider claims when full invoices or receipts for those expenses are produced. Please note production of these invoices or receipts does not automatically mean we will cover those expenses.



Transfer Terms and Conditions

Northwest Travels Pvt. Ltd.�acts as an agent on behalf of transfer providers worldwide.

Please read the booking terms and conditions carefully, they apply to all bookings made with Northwest Travels Pvt. Ltd.� and each individual member of your party.

Your Contract

Once the contract is made, it is the transfer providers' responsibility to provide you with what you have booked and it is your responsibility to pay for the service in full before you travel.

All relevant documentation will be sent to you via email, it is important to check carefully all the details of your booking once you receive it. AlphaRooms will not be responsible for any information you do not receive, as a result of your failure to provide a valid e-mail address.

If you want to cancel or amend your booking later, you may have to pay cancellation or amendment fees.

In certain instances the transfer provider may be unable to confirm your booking; in this case AlphaRooms reserve the right to cancel and refund in full any bookings affected.

Pricing

If I Want To Change My Booking?

If you want to change any of the details of your booking after we have sent you confirmation, we will do our best to help. Any changes must be made in writing to our office. Modifications made using a credit card may be subject to a credit card charge where applicable.

Charges may be incurred for such amendments; these will be applied as per the following:

  • For all amendments made to the arrival/departure date and completed 7 days or more prior to check-in will incur 10% of the total booking price.
  • Within 7 days of travel such amendments will reflect the charges made by the transfer providers. We will not add a mark up to this amount.
  • Fees for amendments made to the time of your transfer service or lead name will also reflect those of the transfer provider. We will not add a mark up to this amount.

** All amendments to the transfer service must be made prior to travel.

** Under certain circumstances, Northwest Travels pvt. Ltd. do appreciate a number of factors may be out of the clients control and therefore such amendments will be dealt with according to the transfer providers discretion.

Cancellation and Refund Policy

In the event you wish to cancel your transfer arrangements we require written confirmation from the lead passenger. Charges are based on the total cost of the booking and are as follows:

If We Change Your Booking

In some instances the transfer provider may alter or cancel your booking, in such circumstances we will inform you immediately.

Please note neither the transfer provider or�Northwest Travels pvt. Ltd.�are responsible for any additional costs incurred as a result of this, nor will they be obliged to pay compensation.

Our Responsibility

As Northwest Travels Pvt. Ltd. are acting only as a booking agent we have no liability for any of the transfer arrangements and in particular any liability for any illness, personal injury, death or loss of any kind, unless caused by our negligence.

Any claim for damages for injury, illness or death arising from your journey must be brought against the transfer provider and will be under the jurisdiction of the law of the country in which the transfer is provided.

Please note the transfer provider will always aim to drop and/or collect you as close to your accommodation as possible. In some instances it may not always be possible for the vehicle to take you onto the premises due to circumstances outside of the transfer provider’s control.

Your Responsibility

Both Northwest Travels Pvt. Ltd.� and the transfer provider accept no responsibility for transfer services not received as a result of incorrect information provided at the time of booking.

Upon making your booking please follow the set dates and times as shown on your flight details, this will prevent confusion which may be caused by early morning flights.

It is also your responsibility to have valid travel documents. If we or your carrier are fined as a result of you holding incorrect documents, we will ask you to pay this amount.

It is a condition of booking with us that you also have sufficient travel insurance for your reservation.

Special Requests

The transfer provider will always make every effort to meet your requests; however, please note they cannot be guaranteed. The transfer provider has no obligation to supply compensation in such instances.

Late Arrivals

Northwest Travels Pvt. Ltd.� and the transfer provider will always endeavour to make sure that your transfer service is provided, even when flights are delayed, or are affected by circumstances outside of your control.

However, please be aware that it is your responsibility to make Northwest Travels Pvt. Ltd.� or the transfer provider aware of any delays; it is not always possible to predict and/ or obtain information with regard to such instances. As a result neither Northwest Travels Pvt. Ltd.� nor the transfer provider accepts responsibility for missed transfer services due to delayed, postponed, or other problems affecting flights.

In the event a return flight is missed owing to a delay with the transfer service which is out of the transfer provider’s control, they will not be responsible for any additional costs incurred nor will compensation be due.

Misbehaviour

We reserve the right to terminate without notice the arrangements of any customer whose behaviour, in our opinion, is likely to cause annoyance, distress or danger to other customers or any third party. If you are prevented from travelling because you appear to any person in authority to be unfit to travel, or likely to cause discomfort or disturbance to other passengers, our responsibility for your transfer will cease. Full charges will apply and we will be under no obligation to provide a refund, compensation, or any further assistance.

Indemnity

When you book a transfer service through Northwest Travels Pvt. Ltd.�you accept responsibility for any damage to the transfer vehicle caused by you or a member of your party.

The transfer provider reserves the right to terminate the service booked or that of any member of your party due to your or their misconduct, within their reasonable opinion.

In these circumstances full cancellation charges will then apply and no refund will be given. Furthermore, the transfer provider shall be under no obligation to pay compensation or meet any costs or expenses you may incur as a result of the service being terminated.

You agree to indemnify us against any claims (including legal costs) made against us or on behalf of the transfer provider. Finally you are also liable to make a reimbursement to the transfer provider for any damage caused, before you return home.

Disputes

In the event of any dispute our liability shall not exceed the charge for the transfer service provided. Any litigation will be subject to English Law.

If you experience problems with your transfer service whilst at resort, you must call the transfer provider on the emergency contact number upon your transfer voucher immediately in order to give them the opportunity to resolve the problem.

If the issue is not resolved to your satisfaction you should contact our�office on 00 91 11 25130495 from resort and speak with our transfer team who will act as an intermediary to try and rectify the problem.

Only in the event that the matter was not rectified sufficiently at resort you must put your complaint in writing to our Customer Relations Department within 14 days of return of travel. Flight Terms and Conditions

Northwest Travels Pvt. Ltd. acts as a booking agent for certain airlines and ATOL holders. When you book a flight through us we will either act as ticket provider on behalf of the airline or as agent on behalf of the ATOL holder. The identity of the supplier of the flight will be made known to you before any contract is concluded, together with the date, origin, destination, time, airline operator and flight number of each flight (where known). All flights will be subject to the relevant international conventions which govern air travel and the airline's conditions of carriage which limit liability to you. Copies are available on request. When you buy an ATOL protected flight, you will receive a confirmation invoice confirming your arrangements and your protection under the ATOL holder's licence number. In the unlikely event of the ATOL's holder's insolvency, the CAA will ensure that you are not stranded abroad and will arrange to refund any money you have paid via us for an advance booking.�Not all holiday or travel services sold by us will be protected by the ATOL scheme. Please ask us to confirm what protection may apply to your booking. All sales by ATOL holders are subject to their terms and conditions of booking, some of which may exclude or limit liability, copies of which are available on request. Some flight bookings made by credit card will be subject to a credit card charge of 3%.


Package Terms and Conditions

Northwest Travels Pvt. Ltd. acts as a booking agent for certain tour operator suppliers�. When you book a tour operator package through us we will either act as ticket provider on behalf of the supplier or as agent on behalf of the ATOL holder. The identity of the supplier of the tour operator will be made known to you before any contract is concluded, together with the date, origin, destination, time, tour operator and flight number of each flight (where known). All tour operator packages will be subject to the relevant international conventions which govern air travel and the airline's conditions of carriage which limit liability to you. Copies are available on request. When you buy an ATOL protected flight, you will receive a confirmation invoice confirming your arrangements and your protection under the ATOL holder's licence number. In the unlikely event of the ATOL's holder's insolvency, the CAA will ensure that you are not stranded abroad and will arrange to refund any money you have paid via us for an advance booking.
